Privacy Policy

How we handle personal information and protect privacy on this website.

Review draft based on the policy published on the previous official website. It includes additional disclosures about the new website’s analytics and external services, pending operational and legal review before publication.

We regard the protection of personal information as a foundation of our business and work to handle and protect customer and employee information appropriately.

01Policy and scope

株式会社 YAK (YAK, “we” or “us”) recognises its responsibility to protect personal information in its real estate business. We appropriately collect, use and provide information only as necessary for entrusted work, employment and personnel administration, and take measures to prevent use beyond specified purposes.

We comply with applicable laws, national guidance and other standards, and work to prevent and remedy unauthorised access, leaks, loss, damage and alteration. We address complaints and enquiries promptly and appropriately, and operate and continually improve our personal information protection management system.

02Information we collect

We collect names, addresses, telephone numbers, email addresses, enquiry details, property preferences and information needed for transactions through lawful and appropriate means, including telephone, email, meetings and applications. Identity documents and contract or payment information are collected only as needed for the relevant procedure.

We may also collect website usage information, including pages viewed, referral sources, display language, device and browser type and viewing time. Further details appear in the website analytics and external services sections below.

03Purposes of use

Client information received in the course of business is used for service-related verification and communication, confirmation of qualifications and business procedures. Enquiry information is used to respond and follow up.

Employee information is used for personnel and labour administration, employee benefits and health management. Applicant information is used for recruitment. Information is handled within these stated purposes. The supplementary sections at the end describe usage information collected by the new website.

04Disclosure to third parties

When providing personal information to a third party, we follow applicable law and obtain required consent, providing information necessary for the purposes stated above. Recipients are relevant parties assessed in advance, and information is provided by post or email.

We enter into contracts or similar arrangements that include personal information protection requirements. Disclosures required by law and other statutory exceptions are handled in accordance with the relevant law.

05Outsourced processing

We may outsource the handling of personal information within the stated purposes. We select providers assessed as implementing safeguards equivalent to ours and enter into contracts with them.

We exercise necessary and appropriate supervision to safeguard entrusted information. Information sent to external services by the new website is described in the supplementary sections at the end.

06Security and retention

We establish a protection policy and rules for collection, use, storage, provision, deletion and disposal, with defined responsibilities. We identify authorised staff and the data they handle, maintain reporting procedures, and use periodic checks, internal and external audits and corrective action to manage information.

We provide staff education and confidentiality commitments, control access to premises and equipment, protect documents, devices and media against theft or loss and safeguard them during transport. We restrict system access and protect systems against unauthorised access and malicious software.

The previous official website states that customer personal information handled in business is stored on servers in Japan. The supplementary sections address external services used by the new website. Information no longer needed for its purposes or statutory retention requirements is appropriately deleted or disposed of.

Subject to applicable law, you may request notification of purposes, access to personal data we hold and third-party disclosure records, correction, addition or deletion, cessation of use, erasure or cessation of disclosure to third parties. Please use the contact details below for requests, questions or complaints.

After verifying your identity or your representative’s authority, we explain the procedure, required documents, response method and any fees and respond without delay in accordance with the law. Additional disclosures for the new website

13Cookies, browser storage and website analytics

We use browser storage to remember language preferences and support analytics. Our own analytics records pages viewed, referring domains, search terms and campaign details when available, display language, device and browser type, approximate region inferred from the IP address, viewing time, scroll depth, loading time and clicks on telephone, email, external and other links.

A random visitor identifier is stored in the browser for up to 180 days, with a session identifier also used within the tab. Analytics records do not store raw IP addresses or form contents. Use the setting below to stop future analytics collection in this browser. Collection also stops when Do Not Track or Global Privacy Control is enabled. Clearing browser storage may reset your preference.

Website analytics preferences

This preference controls future collection by our own website analytics. See “Cookies, browser storage and website analytics” for the information collected and storage used. Your preference is saved in the current browser.

This browser allows analytics.

14External services

We use Google Fonts to display text and Google Maps when the map feature is enabled. Loading these services may send your IP address and browser information to the provider, which may process them outside Japan. When you follow an external link, the destination’s privacy policy applies to its handling of information.

Please consult the provider’s privacy policy for details. The analytics setting on this page applies to our own analytics and does not stop connections to Google Fonts, Google Maps or other external services.
